What information do we collect?
When you apply for a trade account we collect: your name, your company name, your trading address/home address, your telephone number and your email address. We may use this information to contact you to request further details on your application.
Note: If your application is declined, we will hold the information above a reasonable amount of time, usually 12 months, before permanently deleting the details and erasing any contact we have had with you, as far as we physically can.
When you purchase from us: we verify your contact details with those on your original trade application, we then forward a copy of the items in your basket to our debit/credit card processing company e.g. PayPal or WorldPay.
Online Payments: - we do NOT hold any credit/debit card details on our systems. All monetary transactions are carried out via our 3rd party credit/debit card processors e.g. PayPal, WorldPay or Barclays (in the case of BACs transfers). Humber Distribution Limited has no visibility of your card numbers or banking data at any point in the process.
Newsletters: - if at any point you wish to sign up to our e-newsletter, you will be directed to a GDPR compliant sign up form. The form saves your data via our secure 3rd party data processor and then requests confirmation that you permit us to contact you via email for the purpose of marketing. You can unsubscribe at any time by clicking the Unsubscribe link in the footer of any email we send you. Alternatively, you can email firstname.lastname@example.org and a member of our team will be able to delete you from our mailing lists.
Google Analytics: - for the purpose of monitoring the health and accessibility of our website, we use a Google Analytics tracking cookie that is placed on your web browser while you are using our website. This cookie simply tracks the pages that you visit but does not provide any personally identifiable information. All Google Analytics data is erased after 26 months by Google themselves. Alternatively, you can remove our Cookie by clearing your Cookies & History in your browser. The Google Analytics cookie also tracks items that are added to the basket and checkout, so that we can measure the success of our marketing campaigns and ensure that people are able to add products to the basket and checkout, without encountering any problems e.g. if you use a mobile device, Google Analytics will be able to inform our tech team on whether anonymous users are having difficulties in placing an order.

What legal basis do we have for processing your personal data?
There are multiple legal basis that we use for the processing of personal data. These may be:
Consent - where you have subscribed to a newsletter or applied for a trade application and given us permission to contact you or store your personal data for a period of time
Contract - where you have made a purchase and we are bound by law to keep your details until we have delivered the items to you e.g. an invoice or order number linked to your delivery address
Legitimate Interest - where you visit our website and begin to browse or where you may contact us at a trade show and provide us with your contact details for us to send you a brochure or call you by telephone to set up a trade account.
Legal Process - we may be required to store some of your personal information or transactional data for the tax purposes. We are required to retain certain data to prove that we have collected taxes correctly in the UK, Europe or Internationally. If we were to delete your data immediately, we would be unable to prove to authorities that a transaction had taken place. Equally, we are contractually obliged to retain certain details for the purpose of refunds, offering credit to your account or for insurance purposes, whereby a claim is made against us or you/your company.
When do we share personal data?
At Humber Distribution Limited, we only share data with 3rd parties for the purpose of completing a transaction or consented marketing/promotional activity that is related to our business.
We have a legitimate reason to share certain details with couriers, for the purpose of delivering your items and we have already ensured that they have a GDPR data protection policy in place. We only use reputable and recognised delivery couriers, for example MyHermes, ParcelForce or Royal Mail.
At Humber Distribution we do NOT sell or harvest personal data for the purpose of resale at a later date. Your data is only stored for the purpose of carrying out our business, administering your account or sending marketing material to you that is related to our business and where we believe there is a legitimate interest from yourself.
Where do we store and process personal data?
Website data is stored on servers within the UK mainland. The servers we use are managed by a 3rd party who have no access to your data but already have EU privacy policies and safeguards in place.

How do we secure personal data?
When you access our website, you'll notice at the top left in some browsers, a green padlock or a 'Secure' label or some other variation of the same. This confirms that we have a valid SSL (Secure Socket Layer) certificate in place on our domain and that your data is more secure.
All of our 3rd parties use SSL via their websites. Our credit/debit card transaction partners use even higher levels of security, in the form of PCI Compliance, HTTPS, SSL and various additional processes to combat fraud and detect unauthorised data breaches. Remember, at Humber Distribution we DO NOT store your credit or debit card details on our own servers. All transactions are carried out on our partner websites via PayPal, WorldPay or Barclays Bank Plc.
How long do we keep your personal data for?
We only keep your personal data for as long as we are required to either legally or for the purpose of carrying out a transaction or marketing communication. For Google Analytics, your data is stored for 30 days within a browser Cookie or 26 months within Google Analytics historical data. If you revisit our website within 30 days, the Cookie is refreshed for a further 30 day period. If you don't visit our website for 31 days, the Cookie will likely be deleted by your browser automatically and 25 months later, Google Analytics will have anonymised your data and made it historical, for the purpose of our internal reporting on things like website visitor numbers or the number of transactions per month etc.
For e-Newsletters, we store your data for a minimum of 12 months before it is reviewed by a member of our internal team. After 12 months, our system may tell us that you have stopped opening or interacting with our emails and therefore, your data will be deleted from our marketing platform and you will no longer receive any emails. If you continue to open or interact with our emails, you will continue to receive them automatically unless you click the 'Unsubscribe' link in the footer of every email we send. Alternatively, you can email email@example.com and ask a member of our team to remove you from our marketing database.
Your rights in relation to personal data

Note: When making a Data Access Request, we may require you to supply some form of identification, for example a copy of a driving license, in date passport or alternatively a contact telephone number for your solicitor or accountant, where we can verify that we are sending information to the correct recipient.
We reserve the right to limit data subject requests where this may expose personal data regarding another person or where we are required to keep your data for legal or tax purposes e.g. if you have purchased from us within the last 7 years, we may be required to keep a copy of the invoice for HMRC to investigate at a later date, should they wish to do so. We are not permitted to destroy or anonymise this data.
We use two sets of Cookies for tracking via our website. 1) Google Analytics - a simple Cookie dropped on to your browser automatically that tracks your behaviour for 30 days (renewed every 30 days, each time you visit our website) 2) Transactional Cookie - this simply records the items and value of your shopping cart and send our team an email, so that we know which items and what quantity you wish to order. We will also receive a confirmation email from our credit/debit card company to confirm that you have paid for your goods. We do NOT see any card numbers, pin numbers or any digits related to your chosen method of payment.
Linking to other websites / third party content
Where we link to other websites or provide links to third party content, Humber Distribution Limited cannot be held responsible for any loss of data or monetary loss resulting in you visiting any third party websites, apps or content linked to from our website, social media channels or e-newsletters. By clicking any link, you are accepting full responsibility for checking the integrity of the website or app you are visiting and Humber Distribution Limited cannot be held responsible for anything that may happen after clicking such links.
